ADMINISTRATIVE AND COMMUNICATIONS ASSISTANT

PART-TIME: 10-16 hours per week. Number of hours worked weekly may vary.

HOURLY RATE: $22/hour

TERM: 1 year, may be extended depending on funding

 

Friends of Netarts Bay Watershed, Estuary, Beach, and Sea (WEBS) is a small 501(c)3 non-profit working to sustain the Netarts Bay area through education and stewardship. We strive to offer opportunities for k-12 students as well as the public to learn, engage in science and take action to preserve the watersheds, estuaries, beaches, and seas spanning from Cape Meares to Cape Lookout. WEBS is made up of passionate volunteers and staff with a variety of skills who love the outdoors, science, education, and our local area.

 

OUR WORK:

●   Education: WEBS supports 9 fully funded Science, Technology, Engineering, Art, and Math (STEAM) field trip programs with Tillamook County Schools. WEBS also organizes and funds over 30 free public education programs each year.

●   Stewardship: WEBS focuses its education programs around stewardship and works to provide the public with opportunities to participate in community science and stewardship activities like invasive plant work and cleanups.


RESPONSIBILITIES: WEBS is looking for a detail-oriented person to join our team in a part-time capacity. Assigned work will not be routine and specific assignments will vary depending on the needs of the organization. Responsibilities may include:

 

Clerical and Administrative tasks (~70%):

●   Assist ED in with organizational communications and scheduling.

●   Checking the organization’s mail and handling distribution of items.

●   Providing administrative support to the Executive Director and board members including assisting with board meeting coordination, distributing needed documents, etc.

●   Assisting, as needed, with managing and archiving organizational records and files.

●   Assist with monthly reporting needs.

●   Create and distribute press releases about WEBS events and work to local news outlets and community calendars

●   Communicating with the public and answering questions about the organization's work.

●   Edit and create google forms.

●   Preferred full charge bookkeeper skills, familiar with QuickBooks to include managing check, cash and online donations.

 

Administration of Communications and Marketing(~30%):

●   Co-manage social media platforms by posting content, answering questions, and interacting with social media followers

●   As needed, create and/or manage online registration for events (via Eventbrite)

●   Assisting, as needed, with the development and distribution of the organization’s newsletters.

 

Other duties as assigned which may include:

●   As needed, occasionally represent WEBS at community events, organization events, etc.

●   Assist and perform minor video editing

●   Coordinate needed supplies for programs (for example, lunch materials, assisting with setup)

●   Assist with program check-ins

●   Provide minor updates to organizational website



JOB CONDITIONS:

This position requires working both independently and as a team player in support of a volunteer-based organization with a paid executive director. The Office and Program Assistant will work under the supervision of WEBS’ Executive Director. The selected candidate will preferably live in the Netarts Bay area. Work will be partly at the WEBS office in Netarts, partly in the applicant’s home office, and partly in various locations around Netarts Bay during classes and field trips. Successful candidates must have a valid driver’s license, a good driving record, and a reliable motor vehicle with driver's insurance. A background check will be completed. Applicants must be comfortable working and living in a rural coastal community. Evening and weekend work may be required.

 

QUALIFICATIONS:

Education & Experience

●   Experience is required in some but not necessarily all of the following areas:

o   Office management

o   Small nonprofit or small business operations

o   Bookkeeping and account management

o   Marketing and media relations

o   Familiarity with Natural resource fields including management or education preferred but not required

●   Associates degree or equivalent experience

 

Knowledge, Skills & Abilities

●   Well-organized with excellent oral and written communications skills.

●   Basic knowledge of budgeting and financial management.

●   Computer proficiency including email, Internet, Microsoft Word, Excel, PowerPoint and google suites.

●   Ability to work independently to establish priorities and manage time effectively.

●   Good people skills and able to communicate with diverse audiences across different social backgrounds.

 

Preference is given to candidates with the following skills and abilities:

●   Proficiency in speaking and writing Spanish. Ability to assist in translating marketing and education materials.

●   Familiarity with QuickBooks preferred but not required.

●   Bookkeeping and account management preferred but not required.

●   Familiarity with website maintenance, YouTube, Eventbrite, Paypal, Facebook, and/or Instagram.

●   Familiarity working with grant funds preferred but not required.
